Air Conditioning Maintenance:
Physical Plant maintains all air conditioning systems as a non-chargeable
service, except those systems that purchased and owned by faculty
residents and other academic

Bulletin Boards:
Physical Plant will install bulletin boards for posting in public spaces,
such as classrooms, corridors and entryways as requested and approval
by the Dean or Director. This service is billable through a Service Request
Form. No handbills are to be posted on interior or exterior walls or surfaces,
including windows and doors.

Cleaning/Custodial Services:
The Custodial Services division is responsible for the routine cleaning
of all occupied spaces (administrative, academic and research), except
faculty apartments.
In University dormitories, custodial and maintenance problems should first
be directed to the Dorms' responsible Matron. Classrooms, laboratories,
restrooms, libraries, hallways, entrances, and stairs are cleaned daily
Monday thru Friday at a time appropriate to the needs of the building
users. Cleaning programs with specific cleaning tasks, such as waxing,
buffing, vacuuming, and rug shampooing have been specifically designed
for the buildings and spaces based on usage and relative needs. Should
any department desire a higher level of service, or service of any program-related
condition, Physical Plant would be pleased to discuss the options available.
The differential added cost of such services would become a chargeable
service to the requesting department or school. Please contact Custodial

increased service levels.

Conservation:
The conservation of resources, including water, electricity, steam, and
the support of all recycling opportunities is an important responsibility
of the entire University community, and one which the staff of Physical
Plant supports with many programs. Through conservation, funds can be
diverted from energy to other needed services. Members of the university
community may contribute to saving energy, water and other resources by
following basic practices, such as closing doors and windows, shutting
off water and lights when not in use, and by following both waste reduction
and recycling opportunities. It is especially important during long recesses,
to take particular caution to assure all outside windows and doors are

Electrical requirements for offices, laboratories and special
equipment:
Physical Plant must be consulted and its approval obtained regarding equipment
connections to utility systems (electrical, gas, steam, chilled water,
compressed air). Safety issues, system capacity and adherence to code
requirements must be considered before these connections are made. Plant
Engineering can provide details and pricing for proper installations.

Elevators:
All Elevators in AUB Buildings on campus are under maintenance contract
with private companies under the supervision of Physical Plant. The maintenance
and testing contractor, performs monthly preventive maintenance, annual
tests and services. They respond to emergencies 24 hours per day, seven
days per week. The inspection contractor performs semi-annual inspections
and witnesses annual tests. Repairs are also scheduled whenever possible.

Environmental Rooms/Boxes:
Individual departments are financially responsible for environmental chambers
or control equipment designed to accommodate laboratory, research, or
computer requirements. This equipment includes air conditioning, refrigeration,
ventilation fans, exhaust fans, and similar devices, but not including
devices for comfort. Care should be taken when you wish to add supplemental
equipment, since the resulting heat generated may overload existing heating/cooling
systems. This would necessitate an upgrade to the system, and should be
done in conjunction with the engineer in charge. Contact:

Estimates:
Physical Plant will provide estimates for all chargeable services, projects
and minor repairs. The process is initiated by submitting a Service Request.
If an estimate is requested for a project that will require the preparation
of plans and specifications, and will require the use of outside contracted
services, the request will be forwarded to the Facilities Planning &
Design Unit. Do not contract for building or maintenance services without
first discussion with Physical Plant.

Events:
The University and its departments host hundreds of events annually. All
events are chargeable and a Service Request or e-mail must be submitted
minimum one week ahead to the Physical Plant
Department to assure that necessary services are provided when you need
it; including set up, cleanup, electrical, or any other service you may
need.

Fire Extinguishers, Alarms, Reporting, etc.:
The purchase and maintenance of fire extinguishers in all public spaces
are the responsibility of Physical Plant Department.
In case of fire, pull the fire alarm and vacate the
building. Call Protection Office Ext. 2400 or the EHS&RM
Department at Ext. 2360.

Furniture Maintenance and Moving:
The furniture and fixtures in the classrooms are maintained by PPD.
Office furniture and furniture used by academic, administrative, or research
departments are the property of that department and are maintained as
a chargeable service. Repairs may be obtained by completing and submitting
a Service Request Form to the Help Desk.
AUB supplied furniture in faculty apartments are the property of
Housing. Repairs may be obtained by contacting the Housing Department at
2120. Furniture transfer is a departmental responsibility. The Transfer Services
can provide moving services on a chargeable basis, based on available
manpower and scheduling. The Transfer Services takes no responsibility
for moving sensitive electronic equipment, computers and research equipment.
The department requesting service must provide disconnecting, packing
and unpacking. Moving jobs, which cannot be scheduled within the Transfer
Services, will be handled by a commercial moving service.

Grounds:
Thousands of students, faculty, staff and visitors utilize the campus
grounds daily. It takes a significant effort to keep the campus environs
clean, free from litter, graffiti and abuse.

Heating/Cooling:
HEATING SEASON:
The official heating season is from mid-October to mid-April, although
actual temperature projections will determine the beginning and end of
the season. Heat is provided to maintain interior temperatures at 21 degrees
Celsius.
COOLING SEASON:
During the air-conditioning season, mid-June to mid-October, cooling is
provided to maintain interior temperatures at 24 degrees Celsius. (Note:
Many building systems on campus vary in capability because of age and
design. Variations in temperature levels are to be expected.)
Central air-conditioning and/or ventilation are not automatically provided
for special events that occur during off-hours and weekends. If such services
are desired, submit a Services Request.
The operation of room and window air conditioners is the responsibility
of individual occupants. It is requested that window units be turned off
during hours when space is not occupied (nights, weekends and holidays.)
IMPORTANT NOTE REGARDING INTERIM SEASONS
During interim season, between the end of the heating season in mid April,
and the changeover to air-conditioning season in June, no air-conditioning
is provided from central or building systems. During these times, some
personal discomfort may be experienced, over which Physical Plant Department

Keys and Locks:
University-employed locksmiths are the only persons allowed to cut and
issue keys for University buildings. For security reasons, duplication
of keys by outside locksmiths is strictly prohibited. Loss of keys must
be reported to the Protection Office immediately. If re-keying is necessary,
the requesting department will be charged for new keys and/or locks. A
Service Request Form for lock changes or requests for keys should be submitted

Lighting and Re-lamping:
If a light is out, report it to Help Desk. Your request will be assigned
at the next available time the technicians are in that location. If it is the
only light in a location, specify as such at the time of reporting, to
insure rapid response. If additional lighting is needed in a lab, office,
etc., your request will be accommodated as a chargeable service.

Maps and Building Plans:
Facilities Planning & Design Unit maintains a listing of all University
spaces, and the future plan for the whole campus as per the Campus Master
Plan. If you require a set of floor plans, FPDU can provide these for

Occupants' Responsibilities:
Departments and personnel who occupy buildings are responsible for turning
off lights, closing windows, locking doors turning off air
conditioning units, and observing general security needs of the buildings.
Closing windows is important for the protection of buildings, especially
before semester and holiday breaks and during winter months. Departments
who fail to heed these precautions are responsible for damages caused.
Everyone must share the responsibility for security against theft, fire,
and vandalism. Please report problems with windows, locks and doors to:

Painting:
Maintenance and painting of classrooms, corridors, stairwells and public
areas are operational services provided by Physical Plant Department,
and are scheduled on the basis of condition and availability of resources.
Other painting can be scheduled as a chargeable service when requested.
Non-maintenance painting to residences and faculty apartments is a
chargeable service. All requests shall be submitted to Housing for
approval.

Preventive Maintenance:
Preventive Maintenance consists of routine, pre-scheduled maintenance
tasks that will reduce equipment breakdown and will lengthen the useful
life of building systems. Physical Plant provides routine preventive maintenance
inspections and services on electrical, plumbing, and mechanical systems.
Storm drains; areaways and roofs are periodically cleaned and inspected.

Public Areas:
Physical Plant is responsible for maintenance services in public areas.
These areas include all grounds, entry lobbies, public corridors, stairwells,
student lounges, classrooms, seminar rooms, and rest rooms.
Physical Plant is also responsible for utility services to these areas,
such as lighting, heating and cooling, plumbing and for decorative services
such as painting, wall coverings, window treatments, and flooring. To

Refuse Disposal:
Normal trash: Refuse Disposal Services provides routine
pickup of normal refuse on campus. This trash is normally deposited in
waste receptacles located throughout the campus.
Bulk trash: Physical Plant will, upon request, dispose off
heavy bulk items. These items are placed in a dumpster and hauled away
separately from normal trash.
Hazardous materials: Hazardous material disposal is coordinated
by the Office of Environmental Health, Safety & Risk Management, and
must NOT be placed in receptacles, containers, or dumpsters provided for
routine trash or recyclables. For procedures for disposing of hazardous
materials, contact the Office of EHS&RM.
Major clean outs: Clean outs of large volumes of trash,
recyclables, or bulk waste should be coordinated with Physical Plant Help
Desk.
Recycling: Physical Plant provides two receptacles in offices;
one for normal trash, and one for recyclable paper. Most normal office
paper is recyclable. (Notable exceptions are newsprint, food-soiled paper,
and "carbonless" or NCR form paper.) Receptacles for bottles

Storage of Equipment, Supplies and Materials:
No equipment or materials may be stored in basements, stairways, tunnels,
or public corridors, or placed so as to block fire exits. These conditions
constitute a Fire Code violation, and may block pedestrian or disabled
access routes to critical areas. Equipment and materials stored or placed
in violation of Fire regulations will be removed and discarded and the
responsible department will be charged all costs associated with that
removal.
Departmental equipment or supplies may not be stored in mechanical rooms,
electrical closets, or janitorial closets. Equipment and supplies stored
in such spaces will be removed and discarded, with the responsible department
charged all costs associated with that removal.
