Reproduction

  • Some archival materials are old, fragile, and delicate requests for photocopies, microfilm and digital scans are considered on a case-by-case basis upon the discretion of the Archives Librarian. Duplication will be approved taking into consideration the physical condition of the item in question. The Department reserves the right to refuse a request, or to limit the amount or format of reproduction to protect library copyright and control over its own materials.
  • Researchers are encouraged to be as selective as possible. Duplication is limited to a maximum of 50 pages of a particular manuscript collection or record group.
  • Only microfilm copies of manuscripts can be requested by academic researchers for a prepaid fee. Title and Shelfmark of a manuscript are required.


  • Digital or microfilm copies of theses can be ordered by external researchers for a prepaid fee. Title and Shelfmark of thesis are required.
  • Payment is possible either by check or cash.
  • Reproductions of items that the library does not hold the original(s) are not possible.
  • Copies, in different formats, are exclusively sold for the use of the researcher and may not be reproduced, published, or placed in other repositories without the prior written permission of the Librarian.
  • Duplication requests are processed as staff time permits.
  • As a general rule, we will not allow duplication of following:
    • Books published pre 1900.
    • Books published after 1900 with brittle paper or fragile binding.
    • Correspondence.
    • Entire record groups, collections, or copyrighted books.
    • Unauthorized student theses.

Microfilming

  • Patrons requesting a microfilm copy of a particular thesis/project or manuscript should complete and submit the Request for Microfilming/Digital Copying/Photocopying Form.
  • For a manuscript request, an additional letter of affiliation to an academic institution should be sent to the ASC Librarian at asc@aub.edu.lb or by standard mail.
  • Payment should be made in advance.

Photocopying

  • Photocopies and printing can be done with magnetic cards available in Jafet and the branch Libraries. Read more on photocopying cost.
  • Library users may purchase magnetic cards from automated dispensers located at the entrance of the Reference Department in Jafet Library and in branch Libraries.
  • No refunds are made for lost or stolen cards.
  • All photocopiers provide a range of enlargement and reduction ratios.
  • Outsiders can get photocopies of journal articles for a fee. Requests should be made at the Circulation Desk and processed at the Document Delivery Services Department.

All photocopying of copyrighted material is governed by the Copyright Law. The patron making the photocopy is liable for any infringement.


Scanning

  • Scanning of the archival material is handled in the Archives & Special Collection Department. Images are scanned at 300 dpi for personal use. Higher resolution can be demanded for publication purposes.
  • Patrons wishing to scan a photo or a poster should complete the Request for Microfilming/Digital Copying/Photocopying Form.
  • Payment should be made in advance.

Requesting Permission to Publish

  • Permission given to patrons to duplicate material does not necessarily authorize publication. A separate Permission Form must be filled to be approved by the Archives Librarian.
  • Publication fee should be paid in advance.
  • Permission to publish is granted for one-time, non-exclusive, solely for the project specified in the agreement and in the medium indicated. The Archives Librarian will not assume any responsibility for violation of copyright: full responsibility for infringement is assumed by the individual requesting permission to publish.
  • Please contact ASC Department at asc@aub.edu.lb for all permission requests.
  • One free of charge copy of any publication resulting from extensive research in ASC materials should be presented to the Department.

Citation of Materials

When permission for publication is granted, citation in the publication should take the form: [Collection name] - [Shelfmark] - American University of Beirut/Library Archives.


Fair Use and Copyrights

  • The American University of Beirut follows a policy on fair use of copyrighted material. For more information, read the Copyright law.
  • It is the patron's responsibility to acquire permission from the copyright owners if the material copied goes beyond that allowed by fair use.
