Student Work Study Rules and Regulations
2011-2012

 Please note the below when employing students through the Work Study Program (WSP)

  • Students eligible for WS are undergraduate and graduate regular students.
  •    Students who are not eligible for WS are:
      - Special students not working for a degree.
      - Graduate students with graduate assistantships.
      - Students on probation.
      - Intensive English students (CEC.)
  •  The student must fill in an application form (follow the link below) and submit it online on time once per year. Deadlines are announced by the Office of Student Affairs. Students who don’t submit an online application will not be permitted to work through WS. (http://www.aub.edu.lb/sao/workstudy/Pages/student.aspx)
  • Prior to selecting or employing any student, the requester or the employing department must fill in a vacancy form (follow the link below) with all required details and send it to the Work Study Office at West hall room 326. No payment will be processed for any student selected without prior and proper coordination with the Office of Work Study. It’s very essential that the supervisor specifies the type of work and the pay rate accordingly.

  • Students employed through the WSP are not allowed to work in the same department for more than 2 regular semesters (Fall and Spring) and one summer semester consecutively.
  • It is the responsibility of the employing department to make sure that the student does not exceed the total working hours allowed (20hrs/wk - 80/month in Fall and Spring semesters and 15hrs/wk - 60hrs/month in the Summer semester). Worked hours over the set limit will be cancelled by the Office of Work Study.
  • The supervisor and the head of the department are responsible to ensure that no immediate relative students are employed in their departments.
  • For safety concerns, it is forbidden to ask the work study students to perform personal work and work outside AUB/AUH premises.
  • All payment vouchers must reach the Work Study Office by the second of every month, else the student payment will not be
    processed on time.
  • The pay rates recognized by AUB for the WSP are:
    - 5,000LP for guides and ushers, library work, dorm receptionist, publication, data entry and office work.
    - 6, 000LP for lab assistants, computer programming, and web design.

 Important notes

- Students must have a bank account in order to process monthly payments.

- A voucher must cover a period of one month only. Late vouchers require a written justification by the department head otherwise they will not be processed. Vouchers more than two months period late will not be processed.

- Students will receive their payments (in their bank accounts) on the 10th of every month.

- The direct supervisor is kindly requested to notify the office of work-study program in case of employment termination.

Students attendance time sheets are to be kept with and sent by work supervisors only. They shouldn't be prepared by, kept with or sent by students.
